Builder workflow guide

Project setup, tasks, scheduling, finances and collaboration.

Set up a project

  • Open Projects → New project. Use the same project through estimating, proposals and award; you do not need to create a second project when work begins.
  • In Basics, choose the stage, address, ZIP, project type, pricing method and start date. Target completion can remain blank. The address supplies the default project name; you can keep a custom name.
  • Choose an address suggestion or enter the address manually. Street View is optional: review the suggested image before using it, or upload your own cover. If a preview fails, use Try again without clearing your project fields.
  • In Scope, select a built-in or company template, show all templates, or begin blank. Name the tasks and subtasks. Grouping rows organize work; avoid pricing both a group and its children for the same work.
  • In Work & budget, enter descriptions, rooms, quantities, units, costs, customer prices and assignments. Add files inline when needed. Files is an optional step available in the stepper; the normal Next flow goes to Schedule.
  • In Schedule, enter durations and review finish dates. Choose sequential, parallel or manual scheduling. Dependency relationships and lag are under Advanced. Unknown dates remain provisional rather than a promised completion date.
  • Review scope, dates, costs and sharing before creating the project. Save useful outlines as named company templates for reuse.

Manage the work

  • Home separates unread project messages from general notifications. Projects shows the portfolio comparison above the project list.
  • Use pipeline details for contacts, sources, follow-ups, notes and proposal revisions. Record sent and accepted dates explicitly. Shelved or rejected work can be reactivated; awarding keeps the same project record.
  • Inside a project, use Plan, Messages, Finances, Site work and Files. Plan contains Overview, Tasks and Schedule. Use Activity for recorded changes rather than as a second inbox.
  • Update task progress and inspect delays and dependencies on the timeline. A provisional critical-path warning means the schedule still needs information.
  • Authorized project admins can rename a project. Company name changes are in company settings; permission to change the company name does not grant broader administration or project-renaming rights.

Review estimates and finances

  • Use the builder bid sheet for workbook-style estimating. Keep labor, materials and allowances separate from markup and customer price. Cost plus uses one adjustable markup on cost, including allowances; company defaults can be overridden per project.
  • Fixed overhead and insurance pools allocate over labor and materials, excluding allowances. The workbook-style editable tax rate applies to allowances only. These are pricing settings, not a determination of taxes legally owed. Builder fee and labor/material cost contingency are separate settings.
  • Changing settings or viewing a calculation does not rewrite saved prices. Review and explicitly reprice when you intend to change them. Saved estimates, published snapshots and issued invoices are different records.
  • For allowance reconciliation, enter actual cost and review the credit or additional charge, including markup, through the existing change-order approval flow. Do not directly rewrite an issued invoice to reconcile an allowance.
  • Optional work stays outside base pricing until selected. Post-approval extras use approved change orders with retained approval history.
  • Review trade and room totals, invoices, deposits, credits, payments and contractor payables in Finances. Price minus estimated job cost is estimated margin, not company net income.
  • Generate payment plans from the remaining uninvoiced amount. Existing issued invoices remain unchanged; recording a payment is not the same as charging a customer.

Share with clients and subcontractors

  • Owners enter Your project and can choose between projects when they have multiple memberships. Use the builder's client preview to inspect the owner view before sharing.
  • Share intended progress, photos, schedules, messages, contracts, approved changes, invoices and files. Internal costs, private task details and subcontractor contact information remain permission-gated.
  • Owners can upload plans and files; the builder receives an in-app notification. The owner ledger distinguishes contract, approved changes, invoices, deposits, payments and balance.
  • Subcontractors use their assigned-work views. A person with multiple legitimate memberships retains those separate access rights; this guide does not grant additional permissions.

Return to your account and use mobile

  • Use Log in and enter your email address, not your display name. If you joined through an invitation, use the email that received it and the password you created.
  • Add to home screen is available signed in and signed out. Follow the guidance for your browser and operating system; installation options vary between browsers and devices.

Developer integrations

The partner API reference covers the public lead API. Partner keys do not grant access to private projects or finances; signed-in project-management endpoints require user and company or project permissions.
